Exporting from Attend

Once you’ve kicked o your event, you can update your Salesforce campaign by exporting information from your Attend Event.

  1. In Attend, navigate to the Attendee list for your event then click “Export.” You’ll be taken to an “Export” page, where you’ll see “Export attendees to Salesforce” as an option. Click the “Export Now” button.
  2. If you haven't already connected, you will be prompted to log into Salesforce first (for detailed instructions, you can review the Connecting To Salesforce instructions, starting at step 3). You'll be directed to the Salesforce export screen.
  3. Start by selecting the Salesforce Campaign that you’d like to sync with Attend.
    We’ll push all of your event attendees, including people who were invited, registered, attended, walked in, or were no shows.

  4. Next, you’ll have to configure your Campaign Status mapping.
    In Salesforce, Campaign Member Statuses allow you to track actions that members have taken for that campaign. They have to be configured in Salesforce in advance of your sync.

    If you haven’t already, you can do so by navigating to your campaign in Salesforce and clicking on “Advanced Setup.” You can create new statuses or replace existing ones, which will preserve the current assignment to existing members but change the name.

  5. Once your statuses are created in Salesforce, you can map them to the Attend statuses.
    Don’t worry, ours don’t change, so you only need to select what Salesforce status you want to create for each one we have.

    You can use the same names for your statuses in Salesforce or choose your own names. Select your preferred Salesforce statuses from the drop downs for each of the Attend statuses.

    Because these mappings are specific to a campaign, they will update each time you select a new campaign from the drop down.

  6. The next step is to configure your New Contact Rule.
    This step allows you to decide what to do if there’s an event attendee that isn’t in Salesforce. You can choose to create a new Lead, create a new Contact, or do nothing, which will keep that Contact in Attend but prevent them from being added to your Salesforce Campaign. 

  7. Next, you’ll have to choose the Attend event fields that you want to map back into Salesforce for both Leads and Contacts.
    If you don’t support both Leads and Contacts in Salesforce, you don’t need to set up fields for both. Just leave the one you don’t want to sync as is. Notice you will also have to indicate an Update Rule. This gives you the ability to indicate when we should write values for each mapping to Salesforce... Never, Only if Different, or Only if Blank.

    We still require First Name, Last Name, and Email Address on Export, so they’re already mapped for you, and we default the update rule to “Never” to ensure no changes to your base member information is changed by Attend.

    We also require Company as part of the Lead Field Mappings because it's required in Salesforce. When there is no value available in the field mapped to Company, we'll map a default value of "Company Placeholder".

    Create any additional mappings that you want to use for your event by clicking the “Add Mapping” button below each eld mapping section. You can delete mappings by clicking the “x” next to each mapping row.

  8. Now, you’re good to go! Click “Export” located at the bottom of the screen.
    You will be able to watch the progress of your import in the window that pops up. Once the Export is completed, we’ll display a quick summary of the process. Once you exit out, we will direct you back to your Event Attendee list.

We have some more good news too! The next time you do an Export from Salesforce, we’ll load up the last eld mapping you used so that you don’t have to do it all over again!
